Assigning a billing administrator

How to give another member access to manage billing.

You can designate other club members to manage billing on behalf of the club.

Why assign a billing administrator?

  • Share billing responsibilities
  • Allow your Treasurer to manage payments
  • Ensure continuity if you’re unavailable
  • Keep billing separate from club management

Who can be a billing administrator

Any club member can be designated as a billing administrator. They don’t need to be a VPE or President.

How to assign a billing administrator

  1. Go to Settings → Billing
  2. Find the Billing Administrators section
  3. Click Add Administrator
  4. Select the member from your club list
  5. Confirm the assignment

What billing administrators can do

  • View subscription status and details
  • Update payment methods
  • View billing history and invoices
  • Change or cancel the subscription

What billing administrators cannot do

  • Access Club Management features (unless they’re also VPE/President)
  • Manage members or meetings
  • View feedback or statistics

Removing a billing administrator

  1. Go to Settings → Billing
  2. Find the administrator in the list
  3. Click Remove
  4. Confirm removal

Best practices

  • Have at least two people with billing access
  • Include your club’s Treasurer if applicable
  • Review billing administrators annually
  • Remove administrators when they leave the club

💡 Tip: Assigning your club’s Treasurer as a billing administrator lets them manage payments without needing VPE or President access.
